Which Yolo County Records Are Open
There is no single Yolo County public records database. The Assessor/Clerk-Recorder/Elections department, Superior Court, Sheriff, cities, and state agencies each control different files. An online index may reveal that a document or case exists, while the actual image or certified copy follows a separate process. This coverage table starts with the record set, then shows the office and the most useful access path.
| Record Set | Custodian | Online Coverage | Access Route |
|---|---|---|---|
| Deeds, liens, official records | Yolo Clerk-Recorder | Index, 1970 to present | Free index; kiosk images; copies by cart, counter, or phone |
| Civil, criminal, family, probate, traffic | Yolo Superior Court | Current cases; start date not stated | Tyler Smart Search and clerk copy process |
| Property assessment and parcels | Yolo Assessor and GIS | Current assessment and map data | Free assessor search and GIS viewer |
| Birth, death, marriage | Yolo Clerk-Recorder or CDPH | Ordering tools, not a modern name index | Authorized or informational copy rules |
| Booking and law-enforcement files | Yolo Sheriff | Transparency and booking-status links | Official site, phone, or CPRA request |
| Business and license filings | California SOS and DCA boards | Current and historical status varies | Free state search tools |
Voter information is a special case. California does not treat the voter file as an open directory for ordinary personal use. Qualified access, confidential fields, and the county application belong with the dedicated Yolo County voter registration record process. Sealed cases, adoption files, juvenile matters, protected addresses, and restricted motor-vehicle data also sit outside routine open-record access.
Note: An open index proves that an entry exists, but it may not display the filed document or establish a certified fact.
Yolo County Recorder's Hybrid Index
The Yolo Clerk-Recorder Official Records Search covers real-property indices from 1970 forward. It is a hybrid system. Names and index entries can be searched online, but document images are available only at the office kiosk. Staff do not conduct searches for requesters. The county also warns that the index is a guide, not a final title determination, and advises searching all name variations.
The recorder portal begins with a disclaimer and then supports the copy-order path. The captured Tyler self-service entry screen shows the gateway users must accept before searching.
That screen marks the split between a free index search and the later image or copy process. A selected entry goes into the cart, and a requester name is required for an order.
| Portal Field or Step | Type | Required | Use |
|---|---|---|---|
| Disclaimer acceptance | Button | Yes | Opens the search portal |
| Name variations | Search instruction | No | Check alternate spellings and forms |
| Requestor Name | Text | For orders | Identifies the copy requester |
| Cart | Action | For orders | Collects selected documents |
| Copy Type | Selection | For orders | Plain email copy or certified mail copy |
| Payment | Phone step | For orders | Call 530-666-8130; payment is not online |
Plain official-record copies may be emailed. Certified copies, meaning legally acceptable duplicates issued by the custodian, are sent by mail. Orders may also be handled at the counter or by calling the Clerk-Recorder. Updates and corrections usually appear within three business days of recording.
Yolo County Court Records in Tyler
The Superior Court of California, County of Yolo holds county civil, criminal, family, probate, small-claims, juvenile, and traffic matters. There is no separate municipal court. The court online-services hub links Smart Search, calendars, probate notes, tentative rulings, payments, and other court functions.
The official hub places the case portal among several court services.
For a name search, Tyler uses Last, First Middle Suffix format. A wildcard asterisk can widen a partial surname, and case numbers work with or without dashes. Public case search and minute-order access do not require registration. Registration is reserved for approved justice partners.
A docket can show a case number, party name, case type, hearing details, status, filing dates, judicial officer, and minute orders when public. Full documents still depend on court rules and clerk procedures. Juvenile, adoption, sealed, confidential, and some mental-health or family-law information will not appear as ordinary results.
Note: Smart Search finds Yolo Superior Court matters; federal cases for the Eastern District of California use PACER instead.
Yolo County Vital Record Copy Rules
Yolo County issues birth, death, and marriage certificates only for events registered in the county. The Clerk-Recorder's birth holdings begin in 1878, and marriage records begin in 1850. Divorce decrees are different court records and must come from the Civil Division of Yolo Superior Court. California distinguishes an authorized certified copy from an informational copy. Authorized copies are limited to people listed by statute, while informational copies are marked as not valid to establish identity.
The official Yolo vital-records page sets out eligibility, forms, and the available order routes.
It directs requesters to online, in-person, and mail procedures. A mailed request for an authorized certified copy must be signed before a notary. Marriage-certificate applicants may also fax a notarized form to 530-666-8109, then call 530-666-8130 to confirm receipt and give payment details. Mail and marriage fax requests are processed in one to two business days after receipt.
The county's Permitium vital certificate order portal provides the online starting point.
The county says online requests process within 24 hours, with shipping options. For statewide copies, CDPH fees changed on January 1, 2026 to $31 for birth, $26 for death, $19 for marriage, and $18 for dissolution certificates. County charges should be checked separately before ordering.
Yolo County Property Records and GIS
The free Yolo Assessor Public Search offers three modes: fee parcel, assessment, and street address. Fee Parcel mode summarizes current or delinquent fiscal-year assessments. Assessment mode opens one specific assessment and may not show all outstanding items. The public search does not expose an owner-name tab, so it should not be presented as a direct name directory.
Street searches have a local quirk. The Assessor recommends omitting suffixes such as Street, Road, Drive, or Lane, using a one-letter direction, and trying a shorter form. The Yolo GIS Viewer then helps place a parcel on the map. Yolo County cautions that GIS is a reference layer, not a substitute for engineering, financial, or primary-record research.
Address search tip. If a full Yolo County street address fails, remove the street suffix, shorten the text, and replace a spelled-out direction with N, E, S, or W.
Yolo Public Records Offices
Woodland is the county's records hub. The main custodians have different portals and copy rules, even when their offices sit near one another. Calling the correct desk first can prevent a trip for a file that belongs to another branch.

California Business Records for Yolo County
Some records tied to Yolo County residents are kept by California agencies. The Secretary of State's bizfile Online search covers corporations, limited liability companies, limited partnerships, and public filings. Its UCC service can search by debtor name, secured-party name, or file number and supplies lien abstracts and copy options.
The captured state business search shows the official entry point.
Business filings may connect a name with an entity, agent, address, or filing, but they are not a full directory of everyone in Yolo County.
The California Department of Consumer Affairs License Search verifies licenses handled by participating boards and bureaus.
DCA results may show whether a credential is current, expired, suspended, revoked, or subject to discipline. Some boards use separate systems, so the board named in the result remains the final licensing custodian.
Note: State business and license databases verify specific filings or credentials; they do not replace county deed, court, or vital-record custodians.
Yolo County Custody Registry Records
Local booking records, state prison data, custody notifications, and the sex-offender registry are separate systems. The Yolo Sheriff's site has public-record request, crime-data, and booking-status paths, but the research did not locate an official searchable live jail roster. For a Yolo County booking, use the Sheriff's official site or call the non-emergency line instead of relying on an unofficial roster.
CDCR's CIRIS search covers people in state custody. Results can include a name, CDCR number, age, current location, commitment counties, admission date, and parole-hearing information. California VINE offers confidential custody-status notifications. The California DOJ Megan's Law resource publishes specified registry data under Penal Code section 290.46. It may not be used to harass, threaten, or commit a crime.
Yolo County Archives Bridge Portal Gaps
The modern recorder index starts in 1970, but older Yolo County records do not vanish at that line. The California State Archives inventory lists Yolo deeds from 1874 to 1901, probate from 1850 to 1923, naturalization from 1850 to 1941, homesteads from 1861 to 1914, deaths from 1863 to 1913, and marriages from 1906 to 1920. Some microfilm lacks a name index, so reference staff and the original county custodian may still be needed.
The Yolo County Archives and Historical Collection is the county's official historical repository, with materials from the 1850s to the present. Its database, reading-room catalog, and digitized Board of Supervisors records complement maps, newspapers, yearbooks, photos, manuscripts, and bound volumes. Access is by appointment at 226 Buckeye Street in Woodland. This older-record comparison is vital for deeds and estate research because online convenience and historical depth are held by different institutions.
California Limits on Yolo County Records
California access law does not make every government file public. Sealed and confidential court matters, juvenile and adoption records, some mental-health information, protected-victim data, and confidential marriage certificates have statutory limits. Authorized vital certificates require eligibility. DMV personal data is restricted by the federal Driver's Privacy Protection Act. Safe at Home protects eligible participants through a substitute mailing address and confidential voter-record handling.
Voter signatures, driver's-license or state-ID numbers, Social Security number fragments, and protected voter entries are withheld. Active law-enforcement investigations and victim or juvenile information may also be exempt. When an office withholds a responsive record, it should identify the legal basis rather than treating the whole request as automatically closed.
Request Yolo County Public Records
The California Public Records Act, Government Code section 7920.000 and following, lets every person request identifiable records from state and local agencies. A written request is useful even when not mandatory because it fixes the scope and creates a record of the date. Under section 7922.535, the agency generally has 10 days to determine whether it has disclosable responsive material. Unusual circumstances can extend that determination by up to 14 days, and the response should give an estimated availability date.
- Name the custodian. Send a court file to the court, a deed to the recorder, and agency correspondence to the agency that created or keeps it.
- Check the official index. An online case, parcel, or deed entry may identify the exact number and date needed for a narrow request.
- Describe existing records. Give names, date ranges, document types, case or parcel numbers, and a preferred electronic format when known.
- Review cost and timing. Agencies may charge permitted duplication costs. Many existing electronic copies can be supplied without a paper-copy charge.
- Address a denial. Ask for the cited exemption and consider narrowing the scope. CPRA enforcement is available through court action.
Lawful personal use. Use Yolo County records for legitimate research, family history, civic review, estate work, or consumer safety. Never use an address, registry entry, or case detail to stalk, threaten, harass, or harm someone.
Yolo County Record Terms Decoded
Custodians use a few terms that change what a requester receives. Reading them closely prevents an index result from being mistaken for proof and helps identify when a certified copy is actually needed.
- Index
- A finding aid that points to a filing by name, date, number, or type. It is not necessarily the document image.
- Certified copy
- A duplicate authenticated by the office that keeps the original record.
- Custodian
- The agency or office responsible for maintaining and responding for a record set.
- Exemption
- A legal rule that permits or requires an agency to withhold some or all responsive information.
- Docket
- The court's chronological case record, which may list parties, filings, hearings, orders, and status.
A Yolo County index entry can be a fast start. The custodian's copy, legal access rule, and current file remain the final sources to verify.
